At Rowin Africa Safaris, we are committed to transparency, fairness, and building trust with every client. The following Terms & Conditions outline how we operate and what you can expect when booking your safari with us.
By confirming a booking, you agree to the terms below.
- Booking & Payment
- A deposit of 30%-50% is required to confirm your safari (depending on itinerary and permits)
- Gorilla trekking permits and certain accommodations may require full upfront payment to secure availability
- The remaining balance is typically due 14 days before travel, or in cash upon pick up, as per preference.
- Bookings made within 30 days of travel may require full payment upfront.
All payments confirm your acceptance of these Terms & Conditions.
- Pricing
- All prices are quoted in USD unless otherwise stated.
- Prices are subject to change due to factors beyond our control for example park fees, government taxes, fuel costs.
- Once your booking is confirmed and a deposit paid, your price is guaranteed, except for mandatory government changes.
- What’s Included
Your safari packages will clearly outline inclusions, which typically cover:
- Accommodation and meals as per itinerary
- Private or shared safari vehicle and guide
- Park entry fees
- Scheduled activities for example game drives
- What’s Not Included
Unless stated, packages do not include:
- International flights
- Visa fees
- Travel insurance (strongly recommended to purchase)
- Optional and any extra activities
- Personal expenses like tips, drinks, souvenirs, etc.
- Travel Insurance
We strongly recommend that all clients purchase comprehensive travel insurance covering tri[p cancellations, medical emergencies, evacuations, delay and unforeseen disruptions. This protects you in situations beyond anyone’s control.
- Change to Itinerary
We understand that plans can evolve.
- Minor adjustments can be accommodated where possible
- Major changes may affect pricing
- Changes requested close to travel dates may incur additional costs.
We always aim to be flexible and fair.
Cancellation Policy
We understand that unexpected changes happen. Our cancellation policy is designed to balance fairness while protecting pre-booked services.
Standard Cancellation Terms
- More than 90 days before travel – 80% refund of payments made (excluding non-refundable permits and deposits)
- 60-89 days before travel – 50% refund
- 30-59 days before travel – 25% refund
- Less than 30 days before travel – no refund.
Important Notes
- Gorilla and chimpanzee trekking permits are 100% non-refundable once secured (as per government regulations)
- Some lodges and camps have strict cancellation policies that may affect refunds
- Any applicable bank or transaction fees are non-refundable
- Flexible Approach
At Rowin Africa Safaris, we go beyond policy. In cases of genuine and unavoidable circumstances (such as global travel disruptions, emergencies, or major unforeseen events), we will always aim to:
- Offer date changes or postponements
- Provide credit for future travel
- Work with our partners to minimize losses where possible
Our priority is to find a fair solution for you.
- Responsibility & Liability
- Rowin Africa Safaris acts as a tour operator coordinating services with third-part providers (airlines, lodges, national parks)
- While we carefully select trusted partners, we are not liable for events beyond ur control, including weather, delays, or third-party disruptions.
- Clients are responsible for ensuring valid travel documents (passports, visas, vaccinations)
- Health & Safety
- Clients must follow guide instructions at all times, especially during wildlife activities.
- Certain activities like gorilla trekking require reasonable physical fitness
- Any medical conditions should be disclosed in advance, including dietary restrictions
- Acceptance of Terms
